Freedom of Information Act (FOI)

The software assists the council in complying with the requirements of the Freedom of Information Act (FOI).  When a request for information is received from anywhere in the council it is logged and allocated to a relevant officer based upon their role within the council.  Standard documents can be produced via email or post to keep the claimant informed of progress with their request (or case), which is then set into a database for auditing in the future.

If the request is declined the system records correspondence and reasons for rejecting the request.

If the request is accepted the system assists the officer to comply with the required timescale by prompting them at key dates by email - an escalation procedure is also built in if the time for the case is nearing expiry up the management chain.  After the request for information has been satisfied the software records the correspondence and can append any relevant documents to the case record.  This allows the Council to show its compliance with the Act while providing an effective service to its’ public.

This system has now been extended to encompass other time sensitive information including General Complaints, Data Protection issues and Environmental Issues all given to the council by the public.
